What information do we collect about you?
When you make a booking with us we will take your name, telephone number, and email address/home address.
On arrival you will be asked to complete a Guest Registration Form which includes the above plus Car Registration Details and questions how you heard about us. In addition, overseas visitors will need to complete their Nationality, Passport numbers and address of their next destination.
If paying your deposit by Debit/Credit card, the details are entered into a Worldpay portable machine; no further record of this information is kept.
How will we use the information about you?
We will use your email address/home address to send confirmation of your booking, the cost of the booking, the amount of deposit paid or due, how the balance can be paid and to ascertain if you have specific dietary requirements. Other additional information may also be included.
Your email address/telephone number will be used to contact you the day before your arrival date to ascertain arrival times.
We also use your data for internal purposes to calculate occupancy rates and repeat business information on a year by year basis.
Your car registration details are used in the event of any accidents involving your car when you are not present.
Information from overseas visitors is a legal requirement.
How is your data stored and for how long?
Booking data is stored on a spreadsheet attached to our diary, we will keep this information for three years.
Guest Registration Forms are stored with a copy of your invoice in the owner’s private accommodation which is locked when unattended. We will keep this information for six years.
Deposit Debit/Credit card receipts are kept in the owner’s private accommodation and given to you with your final invoice. If the booking confirmation is sent by post, the receipt will be included.
Data collected by us and Worldpay is not shared with any third party.
